CSPS P&C POSITIONS & VACANCIES

President 

The President is responsible for:  

  • The successful functioning of the P&C Association  

  • The attainment of the P&C Association’s objectives  

  • Ensuring that the P&C Association takes part in decision-making processes in the school 

  • Fostering fair participation of all members and ensuring that all new members are made to feel  welcome  

  • Supporting volunteers  

  • Consistent adherence to the constitution  

  • Acting as the P&C Association’s spokesperson when public statements or actions are needed 

  • Setting up lines of communication with the Principal  

  • Being signatory on the Association’s bank accounts  

  • Chairing meetings (see fact sheet: Chairing Meetings) but, in the absence of the President, one of the  Vice-Presidents will chair the meeting or the meeting can elect a chairperson from the members  present for that meeting.  

Secretary

The Secretary is responsible for:

  • Preparing, in consultation with the President, all meeting agendas  

  • Attending every meeting and taking notes of the discussions in order to produce a set of  Minutes for subsequent distribution to members and for receipt, possible amendment and adoption  at the following meeting.

  • Receiving and tabling all correspondence as well as writing and dispatching outgoing correspondence  as resolved/appropriate  

  • Issuing notices of all meetings and maintains official records of the P&C Association such as the  constitution, by-laws, rules of subcommittees, Incorporation Certificate, ABN details, list of financial (voting) members, Minutes, Attendance book  

  • Preparing and submitting annual insurance applications.  


Treasurer

The Treasurer is responsible for:

  • Complying with financial accountability requirements

  • Receiving and depositing monies, maintaining records and presenting accounts.

  • Being signatory on the Association’s bank accounts

  • Presenting a report in the form of an income and expenditure statement together with a reconciled bank statement each P&C meeting

  • Ensuring that all funds held and handled by P&C are properly and openly accounted for

  • Ensuring that the various sub-committee financial records have been kept properly

VP Communications - VACANT - The VP (Communications) is responsible for:  

  • Considering ways to improve communication between the Executive and the school

  • Collecting and cascading messages via class patrons, weekly newsletter submissions and social channels

  • Managing the P&C social accounts

  • Class patrons co-ordinator

  • Working with the Website Co-ordinator  


VP Community Partners & Engagement - VACANT- The VP (Community Partners & Engagement) is responsible for:  

  • Organising 1 - 2 raffle per year

  • Organising and formalising the way in which donations and sponsorships are requested and received by  the school. Designing template thank you letters or cards, maintaining a log of donations and  continually looking at ways to improve the way we recognise donations and support of the school  

  • Managing the Community Partners Programme and the end to end process in identifying sponsors and onboarding them 

  • Ensuring Community Partners Programme businesses are engaged and represented by banners or as appropriate at events, fulfilling the Community Partner Programme sponsorship items

  • Requesting from the community prizes and donations for online raffles

  • Standing in for the President to run meetings if necessary  

SUB-COMMITTEES

Events Co- ordinators  x 2- The event coordinator/committee is responsible for:  

  • Organising and the core community events on the P&C calendar (Lunar New Year & Back to School celebration, School Discos, as well as Election Day Fundraising stalls in an Election year

  • Setting the calendar for the year with dates & theme for each event, food performers, preparing  flyers, posters etc  

  • Budgeting, reporting to the Executive on event costs etc  

  • Maintaining the P&C Cupboard & Events Assets  

  • Liaising with the Volunteers Coordinator for each event  

  • Assessing other fundraising opportunities  by assisting leasing with SRC ideas or Environmental Warriors

Second hand uniform Co-ordinator

This role is responsible for:

  • Organising and running a regular second hand uniform stall

  • Organising and maintaining stock in the shed

  • Communicating the dates to the community

Grants Co-ordinator - VACANT - This role is responsible for:

  • Researching available grants and working with the School Executive to apply for relevant grants

  • Work closely with the Executive & Principal to understand strategic goals and relevance of grants

Movie Night Coordinators - This role is responsible for: VACANT

  • Liasing with the Principal to agree the date 

  • Book the screen and movie license

  • Have the children pick the movie from a shortlist

  • Organize a food truck

  • Organize popcorn and refreshments 

  • Sell tickets via the website 

  • Call for volunteers to serve and sell refreshments 

  • Movie screen represents advertising opportunity for local sponsors - place all community partner logos on screen 

  • Register the event for insurance purposes 

Read-a-thon Co-ordinator and committee - This role is responsible for:

  • Promoting reading during Read-a-thon month at the school 

  • Organising the Lights Off Torches On event

Ride to school coordinator  - This role is responsible for:

  • Work with the teachers to plan and implement a Ride to School Program.  

  • Schedule a Ride2School Day event each term, including participation in National Ride2School Day.   Prepare newsletter, liaise with City of Sydney council (Sydney Cycle ways) and Surry Hills police.   Liaise with Bourke Street Public School to coordinate a Bike Bus each term.  

  • Enter Hands Up Data for Crown Street Public School each term (a record of the number of students  riding/walking/scooting/skating to school vs- bus & private car).  

Crown Street Sustainable Committee - This role is responsible for:

Our mission is to empower and inspire the students to contribute to a sustainable development in our local community. We think global and act local. We will connect to the global movement growing in schools across the world to fulfill the UN 17 Global Goals for a better and more sustainable world by 2030. 

Some of the ongoing activities include: 

  • Encourage nude food in the school population be it from home or the canteen by the reduction of single use plastic including soft plastics.

  • Support putting a recycling infrastructure in place and encourage it's ongoing and proper use.

  • Support the work with an environmental program offered to students across the school - "green warriors". 

  • Continue with the Organic Veggie box.

  • Assist the Kitchen/ Garden in the maintenance of the bees, particularly in the task of splitting the hive.

  • Work with Environmental lead teachers

Website coordinator 

This role is responsible for:

  • Maintaining the P&C website  

  • Considering ways to improve the website and streamline P&C work
